Terms and Conditions

By booking a trip with Team Ram Adventure Pvt. Ltd., you enter into a legally binding agreement. Please read the following Terms and Conditions carefully before confirming any package or travel services with us.

1. General Agreement

Booking any trip with us indicates that you fully agree to the Terms and Conditions stated below.

These terms are designed to ensure transparency and a clear understanding between the client and our company.

2. Booking & Payment

A completed Booking Form and a minimum 30% advance payment of the total trip cost are required to confirm your booking.

Clients must submit:

A clear passport photocopy for each traveler

Recent passport-size photographs

The trip (trek/tour/expedition) will only begin after full payment is received.

Payment instructions and bank details will be provided upon request.

All bank charges related to the payment must be covered by the client.

An official receipt will be issued only for the exact amount received into our account.

3. Cancellation & Booking Changes

Cancellation Policy

Cancellations must be submitted at least 20 days before the trip departure date.

Notice becomes effective only after written confirmation is received and acknowledged by our company.

30% of the advance payment will be retained as a cancellation fee.

No refunds will be issued if:

The client cancels after the 20-day deadline

The client voluntarily or involuntarily leaves the trip after it begins

The client is removed for violating company rules or safety norms

Changes to Booking

Any request to modify the original booking must be submitted in writing.

We will do our best to accommodate changes but cannot guarantee availability.

If unable to travel due to valid circumstances (death, illness, injury, jury duty, redundancy), clients may:

Postpone the trip or

Transfer it to another person

Required:

Supporting documents

A processing fee of USD $100 per person

Change requests must be submitted at least 14 days before departure (no changes accepted after this period)

4. Passport & Visa Requirements

Passports must be valid for at least 6 months beyond the return date.

Nepal visas can be obtained:

On arrival at Tribhuvan International Airport, or

From the Nepalese Embassy/Consulate in your home country

Visa fees and arrangements are the client’s responsibility.

5. Travel Insurance

Travel insurance is mandatory for all participants.

The policy must include coverage for:

Personal injury or death

Medical and hospital expenses

Helicopter evacuation and air ambulance

Repatriation

Baggage and personal belongings

Insurance must remain valid for the entire duration of the trip.

6. Health & Fitness

Treks and tours in Nepal require moderate to high physical fitness.

Clients are responsible for:

Undergoing a medical check-up before traveling

Disclosing any pre-existing medical conditions

Understanding that certain conditions may affect trip participation or require special care

7. Traveling with Children

Travelers under 16 years old must be accompanied by a parent or legal guardian.

Please contact us for age-specific guidelines or recommendations.

8. Use of Images for Promotional Purposes

By joining our trips, you grant permission for Team Ram Adventure Pvt. Ltd. to use photos or videos taken during the trip for promotional or marketing purposes.

No financial compensation will be provided for such usage.

9. Changes to Your Holiday & Pricing Policy

Unforeseen Changes

Travel in Nepal may be affected by factors beyond our control, including:

Weather conditions (snowfall, heavy rain, avalanches, landslides)

Flight cancellations

Political unrest

Roadblocks or transportation disruption

Natural disasters

In such cases:

No refunds will be provided for unused services

We will arrange suitable alternatives where possible

Pricing Adjustments

Trip prices are based on current rates and may change due to:

Currency exchange fluctuations

Government taxes or policy changes

Fuel price increases

Other unforeseen costs

Clients will be informed in advance if price adjustments are required.

Accommodation Sharing

All packages are priced on a twin-sharing basis.

Solo travelers may be required to pay an additional single supplement if no sharing option is available.

10. Disclaimer

Team Ram Adventure Pvt. Ltd. is not responsible for:

Loss of employment

Delays or interruptions caused by external factors

Personal inconveniences due to circumstances beyond our control

We encourage all travelers to keep schedules flexible and remain prepared for unpredictable Himalayan conditions.
